About the Fair

  • ORNL's annual Benefits and Wellness Fair is scheduled for October 19, 2017. We're delighted that you'll be part of this major event and hope you have a great experience at the Lab.
     
  • Our purpose is to introduce our employees to the many options they have to impact their physical, mental, and financial health. The Fair offers a forum for you to meet and speak with our employees about their health, wellness, finances, and education and to share with them the many opportunities available in our community.
     
  • The Fair will be held during our annual open enrollment period so employees can learn more about benefits, changes for the coming year and to ask questions of our providers in order to make informed choices. The Fair provides an excellent opportunity for employees to explore with you and discover a wealth of information and resources pertaining to numerous aspects of employee well-being, such as: Health Screenings and Education, Benefits Providers, Fitness and Nutrition, University Education Programs, Safety, Financial Planning, and Work-life Balance.

     

Exhibitor Information

  • The Fair is located in the heart of our energy-efficient facility complex. The Fair occupies Main Street, a long, spacious, glass-enclosed area, and the adjacent Conference Center, which houses the Visitor Center and cafeteria. Each year we arrange things a little differently to keep the Fair fresh and energized. As usual, we'll provide morning coffee, water and lunch for all vendors.
     
  • ORNL has more than 4,500 employees with anticipated Fair attendance of 2,000 plus, so please bring an adequate number of educational materials and informational resources as Fair goers enjoy perusing your pamphlets and literature. Over half of our staff are researchers so be prepared to answer lots of questions.
     
  • Give-aways and Door Prizes: In addition, small giveaways, healthy snacks, and freebies are coveted by all - please bring as many as you can! Since the Fair is used to promote health and wellness, we ask that you bring only healthy snacks such as bags of pretzels, small boxes of raisins, nuts, fruit, etc. It is not a requirement that you bring food for employees, but you may if you wish. We will have hourly door prize drawings and would appreciate any "larger than freebie" item that your company would be willing to donate. That will improve everyone's chance to win one of your fabulous prizes!
     
  • Exhibit space: Each vendor/participant will have an assigned 6' table/booth area. Electricity, wireless internet access and tech support are available upon request. Please indicate any special needs on the registration form and submit it as quickly as possible so we can best accommodate you.
     

Site Access and Badging

  • Oak Ridge National Laboratory is a U.S. Department of Energy facility and all visitors are issued a visitor badge which must be worn at all times. Visitor information must be submitted for all individuals coming on-site. Children are not permitted on-site.
     
  • Please note that additional information is required for any non U.S. citizen visitors; therefore, we need to know as soon as possible if any noncitizens will participate in the Fair.
     

Arriving and Entering ORNL

  • All non-badged vendors are required to use the West Portal to enter ORNL on Thursday morning, October 19, 2017. This helps eliminate congestion and long waits at the Vehicle Portals.
     
    1. West Portal Access:
      From I-40, take Exit 364, turn north onto TN 95 toward Oak Ridge. Or, from I-75 traveling north, take Exit 81, turn north onto TN 95. In either case, once past I-40, proceed about 4 miles on TN 95 and turn right onto Bethel Valley Road. Map
       
    2. Vehicle Portal on Bethel Valley Rd:
      Stay in the lane designated for Visitors / Fair vendors; you will need a photo ID to show the guard. The guard will check your name with the visitors list and give you a parking pass.
       
    3. Continue on Bethel Valley Rd:
      Follow the green signs to the Visitor Center, which is located south, or to the right, of the round-about, in the glassed-in section of the Conference Center.
       
    4. Visitor Center:
      Park in the lot in front of the Visitor Center. Sign in at the Fair registration desk, again showing your ID. You will be given a badge that must be worn at all times. Once you receive your badge, you can use it to re-enter ORNL via the visitor lane with your photo ID and visitor badge, using either the East or West entrance portals.
       

Set Up and Take Down

  • Wednesday afternoon:
    You are encouraged to set-up on Wednesday afternoon, October 18th, beginning at 2:00 p.m. You may enter through the East or West Portal, following the instructions for Arriving and Entering ORNL. You must arrive no later than 4:00 p.m. and set-up must be complete by 6:00 p.m. Volunteers will be on hand with carts/dollies to help you unload and locate your booth. Parking is available in the Visitor Center parking lot in front of the Visitor Center on Wednesday only.
  •  
  • You may also register and pick up your badge at the Visitor Center on Wednesday afternoon. Your badge must be worn at all times. Once you receive your badge, you may use it on Thursday morning to enter ORNL via the East or West portals.
     
  • Thursday morning:
    Set-up begins at 7:00 am. Your booth must be ready by the time the Fair opens at 10:00 am.
  •  
  • All non-badged vendors are required to use the West Portal on Thursday morning to avoid congestion and long waits at the Vehicle Portals. Follow the instructions for Arriving and Entering ORNL, provided above.
  •  
  • Once you arrive and check in at the Visitor Center, you may drive to your designated exhibit area to unload. Volunteers will be on hand with carts/dollies to help you unload and locate your booth. After unloading, please move your vehicle to the vendor parking area before completing your set-up. You may not leave your car unattended in the set-up area. Parking is limited so we encourage you to carpool if possible. We will provide shuttle service from the parking area to the Visitor Center throughout the day.
  •  
  • Remember, your visitor badge must be worn at all times.
     
  • Thursday afternoon:
    Please do not take down your exhibit before 2:00 p.m., when the Fair ends.
  •  
  • You do not need to stop back at the Visitor Center. You may leave via either the East or West portals. You may keep your badge or simply drop it in the drop box located to the far right of the vehicle portal as you exit.

Fair hours are from 10:00am to 2:00 pm. Set-up is from 7:00am to 9:30am. Non-badged visitors MUST enter ORNL via the West Portal; Badged visitors may use either the East or West Portal to enter.

    From I-40 West, take Exit 364, turn right (north) onto TN 95. Proceed about 4 miles on TN 95 and turn right onto Bethel Valley Road. Proceed a short distance to the west vehicle entrance. Once you are verified, continue about 1.5 miles to the Conference Center entrance at the roundabout, take the first right. The Visitor Center will be to the left in the glassed-in section of the Research Support Center; temporary visitor parking is on the right (map of the Visitor Center vicinity).
     
  • From Nashville and Chattanooga:
    From I-75 North, take Exit 81, turn left (north) onto TN 95. From I-40 East, take Exit 364, turn left (north) onto TN 95. In either case, once past I-40, proceed about 4 miles on TN 95 and turn right onto Bethel Valley Road. Proceed a short distance to the west vehicle entrance. Once you are verified, continue about 1.5 miles to the Conference Center entrance at the roundabout, take the first right. The Visitor Center will be to the left in the glassed-in section of the Research Support Center nearest Bethel Valley Road, temporary visitor parking is to the right.   • East Portal Access:
    Take Interstate 40 West out of downtown Knoxville. After approximately 10 miles, take Exit 376 onto Pellissippi Parkway (TN 162) following the signs to Oak Ridge. Continue straight on TN 162 across the Herman B. Postma bridge. Merge to right-lane exit for Bethel Valley Road, proceed straight past the traffic light to the ORNL east vehicle entrance. Once you are verified, continue about 5 miles on Bethel Valley Road. After the 2nd traffic light, enter the traffic circle, or roundabout, and go 3/4ths of the way around to enter the Visitor Center parking lot. The Visitor Center is the glassed-in section of the ORNL Conference Center nearest Bethel Valley Road (map of the Visitor Center vicinity).

  • Out of town visitors may want to consider staying at the ORNL Guest House or in the Turkey Creek area of Knoxville. It is very convenient to the West Portal entrance to ORNL.
     
  • ORNL Guest House:
    Standard Rate - $89 per night plus tax - This is the GSA rate for Oak Ridge and is available to all, even without government ID.

    Academic Rate - $81 per night plus tax - Available for stays of 4 or more nights by students and faculty of colleges and universities, and high school teachers/administrators. (Reserve your room at the Standard Rate and request the Academic Rate at check-in. College ID required.)
